KnowFlex ("we," "us," or "our") is committed to protecting the privacy of our Customers and users ("you", "your", or "yours"). This Privacy Policy ("Policy") explains how we collect, use, disclose, and safeguard your personal information when you use the KnowFlex platform, website, and mentorship services (the "Services" or "Site" or "Platform").
By accessing or using KnowFlex, you consent to the practices described in this Policy. If you do not agree with this Policy, please discontinue use of our Services immediately.
Processing of Anonymized Information. The protections and limitations set forth in this Policy do not apply to data that is not linked to an identified or identifiable individual, or to personal information that has been rendered anonymous such that the specific Customer or user is no longer recognizable ("Anonymized Information"). KnowFlex reserves the right to process, analyze, and utilize such Anonymized Information for any legitimate business purpose at our sole discretion.
Modifications and Updates to this Policy. KnowFlex reserves the right to change, modify, add, or remove portions of this Policy at any time to reflect changes in the law, our technology, or our data practices. We will notify you of material changes by posting the updated Policy on this page with a revised "Last Updated" date. We encourage you to review this Policy periodically, as all modifications become effective immediately upon posting but will not apply retroactively to information collected prior to the change. Your continued use of the Services following the posting of an updated Policy signifies your acceptance of the new terms; if you do not agree to the revisions, your sole remedy is to immediately discontinue your use of the Services.
Definitions
- Customer: Any individual or entity that registers an account on the KnowFlex platform or uses the KnowFlex platform in any way.
- Student: A Customer who seeks, purchases, or receives mentorship or advice through the Service.
- Mentor: A Customer who applies to provide, and is approved to provide, expertise, sessions, or advice through the Service.
- Teacher: A Customer who seeks, purchases, or receives mentorship or advice through the Service for their institution's teaching classroom of which they are in charge.
- Session: Any interaction, whether a one-time call, recurring subscription-based call, or a classroom call facilitated by the Service.
1. Scope and Critical Disclaimers
- Off-Platform Interactions: This Policy does not apply to any personal information you choose to share directly with a Mentor, Teacher, or Student inside or outside of the KnowFlex Services (e.g., during a Session, via private email, personal phone calls, or social media). You must use your own discretion when sharing sensitive details with other Customers.
- Public and Collaborative Content: As noted in our Terms and Conditions of Service, information or media provided in mentorship sessions, forum posts, social media, or public profiles or any other information or media on our Site is not considered private.
- Third-Party Services: Our Services integrate with third-party tools (e.g., video conferencing, payment processors, and transcription services). We do not control these third parties, and their use of your data is governed by their respective privacy policies.
2. Information We Process
We collect information that you proactively provide to us, as well as information generated automatically through your use of the Platform.
A. Information You Give Us
As a Student:
- Identifiers: Name, photo, email address, phone number, and mailing address.
- Educational/Career Data: GPA, test scores, resume or CV, schools attended, employment history, business history, target institutions, and career goals.
- Payment Information: Credit card or PayPal details (processed securely via third-party providers).
- User Content: Profile photos, LinkedIn URL, and information shared during recorded sessions.
- Scholarship: Any information you provide while submitting a KnowFlex Scholarship application.
- Referrals: Students can use certain features of the Services (online or offline) to recommend a Session to another person (e.g. their parents, siblings, peers, teachers etc.) for different purposes (e.g. to receive KnowFlex gift cards, to recommend a Mentor to a peer, to recommend a Mentor to a teacher, etc.). You will be required to provide your contact details as well as the contact information of the recipient. Upon your request, we will issue a one-time automated invitation to your contact on your behalf. KnowFlex retains this information exclusively for the purposes of delivering this single communication and evaluating the performance and reach of our referral initiatives.
As a Mentor:
- Identifiers: Name, photo, email address, phone number, and mailing address.
- Professional Credentials: Resume or CV, employment history, business history, certifications, and educational background.
- Onboarding Media: Any and all information, media, links, etc. you provide while creating your profile or Stories (see our Terms and Conditions of Service) including interview, publications, personal photos or hobbies, etc.
- Availability: Calendar data synced to facilitate scheduling.
- Financial Data: Tax ID or bank information required to issue your mentorship earnings.
- Referrals: Mentors can use certain features of the Services (online or offline) to recommend the Service to another person for different purposes. You will be required to provide your contact details as well as the contact information of the recipient. Upon your request, we will issue a one-time automated invitation to your contact on your behalf. KnowFlex retains this information exclusively for the purposes of delivering this single communication and evaluating the performance and reach of our referral initiatives.
As a Teacher:
- Identifiers: Name, photo, email address, phone number, institution and affiliations, and mailing address.
- Onboarding Media: Course time and syllabus.
- Referrals: Teachers can use certain features of the Services (online or offline) to recommend the Service to another person for different purposes. You will be required to provide your contact details as well as the contact information of the recipient. Upon your request, we will issue a one-time automated invitation to your contact on your behalf. KnowFlex retains this information exclusively for the purposes of delivering this single communication and evaluating the performance and reach of our referral initiatives.
B. Information Collected Automatically
- Technical Data: IP address, browser type, device identifiers, and operating system.
- Usage Data: Pages visited, duration of stay, clickstream data, and referral URLs.
- Location Data: General geographic location derived from IP addresses or GPS (with your consent).
3. Why We Process Your Information
We use your data to maintain a functional and safe marketplace, specifically:
- Service Delivery: To create profiles, facilitate matches, schedule sessions, and process payments.
- Verification: To evaluate Mentor applications and audit credentials.
- Communication: To send session reminders, security alerts, and administrative updates.
- AI & Optimization: To generate session transcriptions and summaries, and to train our AI/ML models as detailed in the Terms and Conditions of Service.
- Safety: To monitor for prohibited conduct (e.g., harassment or off-platform solicitation).
4. Disclosure of Your Information
We may share your information in the following circumstances:
- Between Users: We share Student or Teacher profiles with Mentors and Mentor profiles with Students or Teachers to enable effective Services.
- Service Providers: We share data with third-party vendors who provide video hosting, payment processing, and AI transcription. The agreement to our policy described herein does not include policies of third-parties over which we have not control.
- Legal Necessity: To comply with subpoenas, court orders, or to protect the safety and rights of KnowFlex or our Customers.
- Business Transfers: In the event of a merger, acquisition, or sale of assets.
5. Cookies and Tracking Technologies
We use cookies and web beacons to:
- Keep you logged in and remember your preferences.
- Analyze traffic via Google Analytics or similar third-party provider.
- Deliver relevant marketing and track the success of referral programs.
You can manage cookie preferences through your browser settings, though disabling them may limit your ability to use certain features of the Platform.
6. Data Retention and Anonymization
- Retention: We retain your account information and Session Data indefinitely or as long as it has commercial significance.
- Anonymization: We may de-identify or aggregate your data. Once information is rendered "Anonymized Information" (meaning you can no longer be identified), we may use it for any business purpose without further notice or compensation to you.
7. Your Rights and Choices
Depending on your jurisdiction (such as the EU, UK, or California), you may have the following rights:
- Access & Correction: The right to request a copy of your data or correct inaccuracies.
- Deletion: The right to request that we erase your personal information, subject to legal and contractual exceptions.
- Opt-Out: The right to opt-out of marketing communications. (Note: You cannot opt-out of administrative emails while remaining an active User).
- California Privacy (CCPA/CPRA): California residents may request a report on the categories of info shared with third parties for marketing ("Shine the Light").

8. Children's Privacy
KnowFlex does not knowingly collect personal information from children under the age of 13. If you are a parent or guardian and believe your child has provided us with data without your consent, please contact us immediately for its removal. As per our Terms, users under 18 must have parental/guardian supervision.
9. Security
We implement procedural and technical safeguards to protect your data. However, no method of transmission over the internet is 100% secure. You provide your information to KnowFlex at your own risk.
10. International Transfers
KnowFlex is based in the United States. If you are accessing the Services from outside the U.S., your data will be transferred to and processed in the U.S., where privacy laws may differ from those in your home country.
